Once your employer approves your Halfords Cycle2Work application, you receive a Letter of Collection (LoC) by email — the digital document that acts as your voucher. Before you head to a store or open the Halfords website, it is worth understanding exactly how the LoC works: what the statuses mean, how long you have to spend it, whether you can use it across multiple visits, and what to do if the bike you want costs more than your balance.
What is the Letter of Collection?
The LoC is the contract between you and Halfords for the duration of your hire period. It carries a unique reference number tied to your name. When you present it in-store or enter it at online checkout, Halfords settles the purchase against your application — no cash or card payment for the covered amount.
You receive the LoC as soon as your employer approves your Cycle2Work application through the Halfords portal. Keep the email. You will need both the LoC reference number and your surname to use it in-store or online.
How long is the LoC valid?
Your Letter of Collection is valid for four months from the date it is issued. If you have not used it in time, Halfords can grant a one-off 30-day extension — contact their cycle-to-work team at [email protected] before the LoC expires.
There is no grace period after expiry. Any balance remaining on the LoC at that point is lost — it cannot be refunded, transferred, or carried forward. Plan your purchase before applying so you know roughly what you intend to buy when the LoC arrives.
Where can you redeem your LoC?
Three routes are available:
- Halfords stores and halfords.com — in person, or online using Click & Collect. At checkout, select “Cycle2Work” as your payment method and enter your surname plus LoC number.
- Tredz (tredz.co.uk) — Halfords’ specialist cycling brand. The process is the same: select “Cycle2Work” at checkout, enter your LoC reference and surname, and the value is applied to your basket.
- 860+ independent bike dealers (IBDs) across the UK and Ireland — find participating shops using the store locator on the Halfords Cycle2Work site. Bring your LoC (printed or on your phone) and a photo ID.
If you have seen references to Cycle Republic stores, note that Cycle Republic was rebranded and absorbed into Halfords some years ago. Any older LoCs that reference Cycle Republic should still be redeemable at Halfords — contact their customer service team to confirm.
Can you spend it in more than one visit?
Current-generation LoCs are set up for a single transaction. The expectation is that you select your bike plus any qualifying accessories, confirm the total does not exceed your LoC value, and spend it in one go. Any remaining balance after that purchase will expire.
Older LoCs — typically those with 11-digit reference numbers issued under earlier scheme versions — could be placed into a “partially redeemed” status, which allowed a second transaction for whatever balance remained. This was not automatic: Halfords had to configure the LoC on their side. If you hold an older LoC and want to split the spend, contact the cycle-to-work team before attempting a second purchase, because a wrongly configured LoC will simply decline at the till.
Can you top up your LoC?
No. Once your LoC is issued, you cannot add your own money to it. This is a scheme rule, not a Halfords-specific restriction. Because the purchase is funded entirely through salary sacrifice — pre-tax deductions from your gross pay — the voucher must cover 100% of the transaction value. Paying any shortfall from your own pocket after tax would break the terms of the hire agreement.
If the bike you want costs more than your LoC:
- Choose a bike or accessories package that falls within your balance.
- Before you sign anything, ask your employer or HR whether you can cancel and re-apply for a higher amount. This is usually only possible before the hire agreement is finalised.
- Contact Halfords’ cycle-to-work team early to understand whether your employer’s scheme allows a higher limit — some employers set their own cap below the scheme maximum.

What happens to any remaining balance?
Unspent balance on your LoC expires when the validity period ends. There is no refund and no way to roll the remaining value into a future application. If you apply for a £1,000 LoC but only spend £750, the £250 difference is simply forfeited.
To avoid this, total up your intended purchase — bike plus eligible accessories — before you apply, not after. Under HMRC rules, “cyclists’ safety equipment” qualifies alongside the bike itself: helmets, lights, locks, panniers, hi-viz clothing, and gloves are typically included. General cycling apparel (jerseys, shorts) usually does not qualify. Check the current list on the Halfords Cycle2Work site before committing to accessories.
What do the LoC statuses mean?
If you check your application in the Halfords Cycle2Work portal, you may see one of these status labels against your LoC:
- Issued — the LoC has been approved and emailed to you; it has not yet been used.
- Partially redeemed — part of the value has been spent (mainly applies to older 11-digit LoCs).
- Redeemed — the LoC has been fully used.
- Expired — the four-month validity period has ended; the LoC can no longer be accepted.

How the voucher fits into the wider scheme
The LoC is the last step in the process, not the first. To get to that point, your employer needs to have registered with Halfords Cycle2Work, you need to have applied and been approved, and a hire agreement needs to be in place. Frequently asked questions
- My LOC says it is expired but I only received it two months ago. What should I do?
- Contact Halfords directly — statuses can occasionally display incorrectly. Do not attempt to use an LoC that shows “expired” without speaking to the team first, as the transaction will be declined at the retailer.
- Can I use my Halfords Cycle2Work LoC at Decathlon or Evans Cycles?
- The Halfords Cycle2Work LoC is only valid at Halfords, Tredz, and participating independent bike dealers listed on the Halfords store locator. Decathlon and Evans Cycles are not part of the Halfords Cycle2Work network.
- What if I want a bike that Halfords stocks but my employer used a different provider such as Cyclescheme?
- A Cyclescheme certificate is a separate document from a Halfords Cycle2Work LoC. Tredz accepts Cyclescheme certificates, and Halfords stores accept most third-party provider vouchers — but verify before you travel. Your certificate should state which retailers are in-network.
